Pipelines in Captivation Hub give you a visual way to manage your opportunities as they move through your sales or service process. Each pipeline is made up of stages, and each stage represents a step in your workflow — from first contact to closed deal. You can build pipelines that match how your business actually works, and update them as your process evolves.
What Is a Pipeline?
A pipeline is a structured path that opportunities follow from start to finish. It gives your team a shared view of where every deal stands, so nothing gets missed and everyone knows what needs to happen next. You can have multiple pipelines for different products, services, or teams.
Pipelines List View
The Pipelines list view shows all your pipelines in one place. From here you can open a pipeline to see its stages, create a new pipeline, or edit an existing one. Each pipeline shows the stages it contains and how many opportunities are currently in each stage.
Why Pipelines Matter
Without a pipeline, it's easy to lose track of where deals are and what needs to happen next. Pipelines give you visibility across your whole sales process so you can spot bottlenecks, follow up at the right time, and make sure opportunities don't fall through the cracks.
Pipeline Stages
Stages are the individual steps in your pipeline. Each stage represents a milestone or action in your process — for example, a lead coming in, a proposal going out, or a deal closing. You can name stages whatever makes sense for your workflow, add as many as you need, and reorder them at any time.
Editing a Pipeline and Its Stages
To edit a pipeline, go to Opportunities → Pipelines and open the pipeline you want to update. From the edit screen you can:
- Rename stages
- Reorder stages by dragging them
- Add new stages
- Control which stages appear in reporting
- Delete stages you no longer need
Deleting a Pipeline Stage
When you delete a stage, you won't lose the opportunities that were in it. Captivation Hub will ask you to choose a destination stage to move those opportunities to before the deletion goes through. Here's how:
- Go to Opportunities → Pipelines and open the pipeline.
- Click the delete icon next to the stage you want to remove.
- Select a destination stage for any existing opportunities in that stage.
- Confirm the deletion.
All opportunities from the deleted stage move automatically to the stage you selected.
Example Pipeline Stages
Sales Pipeline:
- Lead Capture — New inquiries from forms, calls, or chats
- Qualification — Budget, need, and fit confirmed
- Appointment Scheduled — Discovery calls or demos booked
- Proposal / Negotiation — Offers shared and discussed
- Closing — Opportunity marked Won, Lost, or Abandoned
Service Business Pipeline:
- Inquiry Received
- Quote Sent
- Quote Accepted
- Job Scheduled
- Job Completed
- Invoice Paid or Onboarded
Best Practices
Keep it simple. Start with the fewest stages that still give you useful visibility. You can always add more later.
Automate where it helps. Use workflows to move opportunities between stages automatically based on contact actions, so your pipeline stays current without manual updates.
Review regularly. Check your pipeline often to catch stalled deals and follow up before opportunities go cold.
Frequently Asked Questions
Do I lose opportunities when I delete a pipeline stage?
No. When deleting a stage, you choose another stage to move all existing opportunities to before the deletion completes.
Do existing automations still work if I edit a pipeline?
Yes. All pipeline-based automations and workflow triggers continue to work normally after you edit stages or rename them.
