Overview
Coupon codes in Captivation Hub let customers apply a discount at the time of booking through the calendar widget. When a valid code is entered, the price updates in real time and the discount is tracked in the Payments Tab of the appointment record. You create and manage coupons in the Payments module and enable them individually per calendar.
Supported Calendars
Coupon codes work across all calendar types and both Neo and Classic booking widgets, as well as Services (v2). They are not supported with the older Service Menu (v1) and cannot be applied to appointments created manually through the in-app modal — only through the booking widget.
Step 1 — Enable Accept Payments and Coupon Codes on Your Calendar
- Go to Calendar Settings > Forms & Payments.
- Toggle on Accept Payments. A linked product tagged "Calendar" is automatically created in your Products tab.
- Scroll down and enable Enable Coupon Code. This adds a coupon input field to your booking widget.
Note: Coupons must be enabled separately for each calendar where you want them active. For Services, coupon visibility is managed globally under Calendars > Services > Global Settings > Payment Settings.
Step 2 — Create a Coupon
- Go to Payments > Coupons and click New Coupon.
- Fill in the coupon details:
- Coupon Code — Enter a custom code or click Generate to create one automatically. Codes are not case-sensitive.
- Coupon Type — Choose Percentage (e.g., 10% off) or Fixed Amount (e.g., $50 off).
- Discount Value — Enter the percentage or dollar amount.
- Start & End Date/Time — Set the validity window for the offer.
- Limit Redemptions — (Optional) Cap how many times the coupon can be used overall.
- Limit to Products/Offers — (Optional) Restrict the coupon to specific calendars or products.
- Limit to One Use Per Customer — (Optional) Prevent the same customer from using the code more than once.
- Click Save. The coupon is now active and ready to share.
Step 3 — Customer Experience at Checkout
When a customer books via the calendar widget, they'll see a coupon code input field. If the code is valid, the discount applies immediately and the updated total shows before payment. If the code is invalid, an error message appears.
Only one coupon can be applied per booking. Customers can remove a code and enter a different one before completing checkout.
$0 bookings: If a coupon reduces the total to $0, the customer won't be asked to enter payment details. If it reduces the price but leaves an amount greater than $0, the discounted amount is charged as normal.
Step 4 — Track Coupon Usage
All coupon and payment details appear in the Payments Tab of the appointment record, including the coupon applied, the discount amount, the adjusted total, and attendee-level payment breakdowns.
Important: Order and Invoice Behavior
When payments are enabled on a calendar, an order is automatically created for each booking — even if no payment is collected at the time. Invoices are no longer automatically created for partial payments; orders are used instead. If you have workflows using an Invoice Created trigger, update them to use Order Created to keep them working as expected.
