Overview
In group or team-based calendar types (Round Robin, Service, Class, and Collective), appointments can be synced with third-party calendars like Google, Outlook, or iCloud. Your Primary Calendar controls where new appointments are written and where events are read from. This guide explains how to configure it.
Step 1 — Open Your Calendar Settings
Go to Settings > My Profile in your Captivation Hub account. Under the calendar section, you'll find two main settings: Primary Calendar and Check for Conflicts. All third-party calendar integrations connected to your profile are listed here.
Step 2 — Set Your Primary Calendar
The Primary Calendar is the calendar responsible for writing new appointments to Google, Outlook, or iCloud. It also reads events from your connected third-party calendars, but its main job is pushing new bookings out to those services.
In the Primary Calendar dropdown, you'll see all calendars currently integrated with your profile. Any calendars shown as disabled may already be used in a conflict check or may not have write access to your connected account.
Step 3 — Configure Contact Creation (Optional)
The Allow Contact Creation setting lets you create appointments directly from events in Google or Outlook. When enabled, events from those calendars that include attendees will be converted into appointments in Captivation Hub — with one exception: recurring events are not converted.
Select a calendar from the dropdown to specify which Captivation Hub calendar those imported appointments should appear in. All group calendars you're part of are listed as options.
Step 4 — Configure Allow Trigger (Optional)
The Allow Trigger option only appears if you've selected a calendar under Contact Creation. When enabled, any workflow trigger associated with that calendar will fire for appointments created through the Google/Outlook sync. If you leave this off, the trigger is skipped for synced appointments.
Frequently Asked Questions
Do I need to set a Primary Calendar?
Only if you want new appointments to sync automatically to Google, Outlook, or iCloud. If you're not using a third-party calendar integration, this setting won't apply.
What does "Check for Conflicts" do?
That separate setting pulls events from your connected calendars and uses them to block off time so double-bookings don't happen. Your Primary Calendar also contributes to conflict checking, but additional calendars can be added specifically for that purpose.
Why is a calendar showing as disabled in the dropdown?
A calendar may appear disabled if it's already assigned to conflict checking only, or if the connected account doesn't have write permissions. Check your integrations under Settings > Integrations if this happens.
