Appointment List View is a dedicated calendar view inside Captivation Hub that displays appointments in a structured list rather than a date-based grid. It's built for managing appointments at scale, letting you work from saved Smart Lists that combine filters, sorting, and column setups.
Smart Lists turn Appointment List View into an operational workspace rather than a passive view. You can create, update, and manage appointments directly from the list, making it easier to prioritize work, track outcomes, and keep your team consistent.

How to Manage Appointments With Appointment List View
Step 1 - Access Appointment List View
Appointment List View lives inside the Calendars area and works as a primary workspace alongside Calendar View.
- Navigate to Calendars from the left-hand menu.
- Select the Appointment List View tab at the top.
Appointment Types
Appointment types are automatically determined by the calendar used to book the appointment. Each calendar is set up as a Meeting, Service, or Rental, and appointments inherit that type during booking. Appointment List View displays appointments based on the selected type, so choosing the right type ensures you're viewing the appointments you actually want.
Creating a New Appointment
The New Appointment button lets you book an appointment manually right from Appointment List View. This is useful when scheduling on behalf of a contact, like after a sales call or during internal coordination.
Clicking New Appointment opens the manual booking flow. You can pick the calendar, choose a date and time, and link the appointment to an existing CRM contact or create a new one. The appointment is then added to the list based on the appointment type and Smart List criteria you've selected.
Appointment Lists and Smart Lists
The default lists - Upcoming, Cancelled, and All - give you quick access to the most common appointment views. When you need something more specific, create a custom view by clicking + Smart List. This lets you save your own filters, sorting, and column preferences. Smart Lists make it easy to switch between different ways of managing appointments without rebuilding the view every time.
Customizing the List
Customization gives you control over which appointments appear, how they're prioritized, and what information shows up.
- Click Customize List to open the configuration panel. This panel is the control center for your Smart Lists.
Inside the Customize List Panel
The Customize List panel is where you build and save your appointment list. From here you can rename the current list, apply Advanced Filters to narrow which appointments show, choose your sort order, and pick which columns to display.
Any changes you make in this panel apply to the current view and can be saved as a Smart List so you can reuse the same setup the next time you open Appointment List View.
Apply Advanced Filters
Advanced Filters control which appointments appear in the list, letting you narrow it to only the ones that matter for your workflow. Apply one or multiple conditions to focus on specific criteria like ownership, status, timing, or calendar source.
Common filter options include:
- Appointment status (for example, Confirmed, Cancelled, No Show).
- Assigned user to view appointments for specific team members.
- Calendar to limit results to one or more calendars.
- Appointment date or time to focus on a specific range.
- Contact details to filter by associated contacts.
Filters combine using AND logic, meaning appointments must meet every condition you've set to appear. This makes it simple to build precise views, like upcoming appointments for a specific user within a defined date range, and reuse them as Smart Lists.
Add Filter
Use Add Filter to layer in more conditions and refine the list further. Because filters use AND logic, only appointments matching every selected condition will appear. This helps you narrow the list to a very specific set before saving as a Smart List.
Apply Sorting
Sorting controls the order appointments appear in the list and saves as part of your Smart List.
Common sort options include:
- Appointment Time (ascending or descending).
- Date Added (ascending or descending).
Sorting helps you prioritize appointments by urgency or workflow needs.
Manage Columns
Columns decide which appointment details show in the list. You can:
- Show or hide columns.
- Reorder columns using drag and drop.
- View locked system columns that can't be removed.
Column setups also save as part of your Smart List.
Updating Appointment Status
You can update an appointment's status directly from the list without opening the appointment record. Click the Status dropdown in the appointment row and select the new status, like Confirmed, Showed, No Show, Cancelled, or Invalid.
Changes save immediately and reflect across Captivation Hub, so appointment outcomes stay accurate as your team manages them at scale.
Note: Marking an appointment as Showed or No Show updates the status inside Captivation Hub, but it doesn't push the change to connected third-party calendars.
Managing Appointments With Row Actions
Every appointment in the list has a three-dot (⋮) menu with quick actions. Click it to view appointment details, edit the appointment, reschedule, or delete it if needed. If consent tracking is enabled, you may also see a View Consent option.
- View Details: Opens the full appointment record so you can review information and activity.
- View Consent: Shows consent details tied to the appointment (when consent tracking is on).
- Edit: Update appointment details like contact, notes, or assigned calendar.
- Reschedule: Change the appointment date and time while keeping the same record.
- Delete: Permanently remove the appointment from the calendar and from Appointment List View.
