Keeping your community organized, safe, and welcoming starts with strong member management. This guide covers roles and permissions, inviting and approving members, privacy settings, and how to handle removals — so you can scale with confidence while staying in control.
What is Managing Members Inside Groups?
Groups in Captivation Hub foster interactive discussions, connect individuals with shared interests, and serve as knowledge-sharing hubs. Managing members inside a group refers to the ongoing workflows admins use to add, approve, organize, and remove people. Understanding roles, privacy, and access controls ensures the right people can join and participate while you maintain safety and a great member experience.
Understanding Member Roles and Permissions
Roles determine who can manage people and content. Picking the right role upfront prevents rework and protects your community health. Note: A group can only be deactivated, not permanently deleted.
| Role | Create Posts | Moderate Posts | Manage Members | Deactivate Group |
|---|---|---|---|---|
| Owner | Yes | Yes | Yes | Yes |
| Admin | Yes | Yes | Yes | No |
| Channel Manager (specific channel) | Yes | Yes | Yes | No |
| Contributor | Yes | No | No | No |
Here is what each permission means:
- Create Posts: Publish new posts in the group. For non-Owner/Admin roles, this may depend on settings the Owner has configured.
- Moderate Posts: Delete or manage posts made by other members. Typically reserved for Owners and Admins.
- Manage Members: Add new members, change their roles, and remove them from the group. Typically reserved for Owners and Admins.
- Deactivate Group: Pause or deactivate the group entirely. Reserved only for the Owner to prevent accidental deactivation.
How to Invite Members to the Group
Choose the invite method that works best for your workflow.
Invite via Link
- Go to Memberships > Communities > Groups.
- Log in to your group.
- Click Invite Members.
- Copy the Invite Link and share it via email, SMS, WhatsApp, or wherever your audience is.
Invite via Email
- Go to Memberships > Communities > Groups.
- Log in to your group.
- Click Invite Members.
- Under Email Invite, enter the recipient name and email address.
- Toggle Administrative Privileges on or off as needed.
- Click Send Invite. The recipient receives an email with a link to join.
Privacy and Join Flow (Public vs. Private)
Privacy settings control who can discover and join your group, and whether manual approval is required.
- Public Groups: Anyone can see the group posts and members and can join immediately without manual approval.
- Private Groups: Only existing members can see posts and other members. All join attempts require manual review, even when someone uses an invite link.
To approve or decline join requests: go to Members > Requested, click the three-dot menu next to the person, and select Approve or Decline.
How to Modify Member Roles
As members contribute more or take on responsibilities, you can update their role to reflect their new level of trust and duties.
- Go to Members > Contributors.
- Locate the member and click the three-dot menu.
- Select the appropriate role: Admin or Contributor (available options depend on your group configuration and your own permissions).
How to Remove or Ban Members
There is an important distinction between these two actions:
- Remove from Group: The member leaves the group but can request to rejoin in the future.
- Ban: The member is permanently prevented from rejoining the group.
To remove or ban someone: go to Members, locate the member, click the three-dot menu, and choose Remove from Group or Ban.
Frequently Asked Questions
Q: I have a large list of potential members. Can I invite them all at once?
Yes. Send a mass email or SMS campaign that includes your group URL. This lets everyone on your list find and join the community at once.
Q: Can members invite others, or is that only for admins?
You can control this in your group settings. Go to Settings and toggle the Allow members to invite new members option. When it is off, the invite button is hidden from members and only admins and owners can send invites.
Q: I sent an invitation but the member has not joined yet. Can I resend it?
Yes. Simply resend the group URL or the original invitation email. Invitations often get missed in a busy inbox, so a follow-up usually does the trick.
