Lead tracking is one of the most important parts of running an affiliate program. When affiliates send leads through forms, surveys, or calendars, Captivation Hub can automatically attribute those leads to the right affiliate so commissions are tracked accurately. This guide walks you through how to set up lead tracking in an affiliate campaign.
Step 1 — Navigate to Affiliate Campaigns
Go to Marketing > Affiliate Manager > Campaigns from the left navigation menu.
Step 2 — Click Add
Click the Add button to create a new campaign that will track leads.
Step 3 — Choose Your Source
For lead tracking, select one of the following as your campaign source:
- Forms — Track leads submitted through a specific form
- Surveys — Track leads submitted through a survey
- Calendars — Track leads who book through a calendar
Step 4 — Select the Source Details
Choose the specific form, survey, or calendar you want to use for this campaign. This links the campaign to the actual content your affiliates will drive leads to.
Step 5 — Review the Default Affiliate Campaign URL
After selecting the source, Captivation Hub generates a unique campaign URL. Each affiliate will receive their own version of this link with their referral ID embedded. Review the URL to confirm it points to the correct destination.
Step 6 — Enable Pay Per Lead (Optional)
If you want to pay affiliates for each qualified lead (not just sales), enable the Pay Per Lead option. Set a flat commission amount per lead and choose whether commissions should auto-approve or require manual review before payout.
Step 7 — Optional Additional Settings
Configure any other settings relevant to your campaign: cookie duration, campaign description, affiliate assignment, and any additional tracking preferences.
Step 8 — Publish the Campaign
Click Publish to make the campaign live. Your affiliates will then be able to start sharing their referral links and driving leads to the form, survey, or calendar you connected.
Step 9 — Track Leads in the Dashboard
After launch, go to Affiliate Manager > Campaigns and click into the campaign to monitor lead activity. You’ll see leads attributed to each affiliate, commission totals, and payout status as the campaign runs.
Important Notes for Effective Lead Tracking
- Affiliates must use their unique referral link for leads to be attributed correctly. Direct traffic to the form URL without the referral link will not be tracked.
- Make sure the form, survey, or calendar you choose is accessible to outside visitors — it should not be gated or require a login unless that fits your workflow.
- Cookie duration determines how long a referral is credited after someone clicks the link. Set this based on how long your typical lead-to-conversion cycle takes.
What This Looks Like in Practice
An affiliate shares their referral link on social media. A potential customer clicks it, fills out your form, and is automatically added to your CRM as a lead attributed to that affiliate. If Pay Per Lead is enabled and the lead meets your approval criteria, the commission is tracked and queued for payout.
