Advanced Filters let you build more precise Smart List segments in Captivation Hub. Instead of simple criteria, you can combine multiple conditions across contact fields, dates, communication settings, and more — giving you tighter control over exactly which contacts appear in each list.
What are Advanced Filters?
Advanced Filters let you narrow Smart List results using specific rules tied to contact fields and related data. Each filter is built using three components:
- Field: The contact property you are filtering by (for example, tag, city, or last activity date).
- Operator: How the value is compared (for example, is, is not, contains, is greater than).
- Value: The specific data point you are matching against.
Key Benefits
- Segment contacts with greater precision using multiple combined conditions.
- Build lists that stay current automatically as contact data changes.
- Create targeted audiences for campaigns, workflows, and outreach.
- Save time by eliminating manual contact sorting.
How to Set Up Advanced Filters
Navigate to the Contacts tab and open the filter panel. Select Advanced Filters to access the full range of filter options. Build your conditions, then save the result as a Smart List.
Date Filters
Date filters let you segment contacts based on time-related fields such as date created, last activity, or appointment date.
Relative Date Filters
Use relative dates to define a range that moves with the current date — for example, contacts added in the last 30 days. The list updates automatically as time passes.
Exact Date Filters
Match contacts to a specific fixed date — useful for anniversary follow-ups or event-based targeting.
Time Difference Filters
Filter by how much time has passed since a specific event, such as contacts who have not been contacted in more than 14 days.
Date Comparison Filters
Compare two date fields — for example, contacts whose follow-up date is before their appointment date.
Negative Filters (Is Not)
Exclude contacts that match a specific date value, giving you the inverse of a standard date filter.
Empty / Not Empty Filters
Find contacts where a date field has or has not been filled in — useful for identifying incomplete records.
Best Practices for Date Filters
- Use relative filters for evergreen lists that stay relevant over time.
- Use exact date filters for one-time campaigns tied to a specific date.
- Combine date filters with other conditions to narrow your segment further.
DND Filters
DND (Do Not Disturb) filters let you include or exclude contacts based on their communication opt-out status per channel. Available DND filter options include:
- DND All
- SMS DND
- Email DND
- Calls and Voicemails DND
- WhatsApp DND
- Inbound DND
- Facebook Messenger DND
- Google My Business Messenger DND
String Filters
String filters match contacts based on text-based fields — names, labels, IDs, and attribution values. Some string fields use free-text input, others use dropdowns. Available operators typically include: is, is not, contains, does not contain, is empty, and is not empty.
Common string fields include first name, last name, email address, phone number, city, state, tags, source, and custom text fields.
Numeric Filters
Numeric filters let you segment contacts based on number-based fields using operators such as equals, does not equal, is greater than, is less than, and is between. Examples include lead score, number of appointments, or custom numeric fields.
Frequently Asked Questions
Can I combine multiple Advanced Filter types in one Smart List?
Yes. You can stack as many filter conditions as you need, mixing date, string, numeric, and DND filters in the same list.
Do Advanced Filters work with AND and OR logic?
Yes. You can set conditions to require all criteria (AND) or any criteria (OR), giving you flexible control over which contacts are included.
Can I save Advanced Filter views for quick access?
Yes. Once you have built your filter conditions, save the result as a named Smart List and it will appear in your Smart Lists panel for one-click access.
