Once your AI Studio form is connected to CRM tracking, every submission can fire off an automated email or SMS within seconds. This recipe walks through building a simple follow-up workflow that confirms the submission and gets your business in front of the lead immediately — no manual outreach required.

What This Workflow Does
The workflow listens for any submission coming from your AI Studio form, then immediately sends:
- A confirmation email to the contact (so they know their submission landed)
- An optional SMS for higher open rates and faster engagement
You can run one channel or both — most businesses get the strongest results combining email for content with SMS for speed.
Step 1 — Create a New Workflow
Inside your Captivation Hub account, head to Automation > Workflows and click + Create Workflow. Choose Start from Scratch, give your workflow a clear name (something like "AI Studio Form — Instant Follow-Up"), and click Create Workflow.
Step 2 — Add the External Tracking Event Trigger
Click + Add New Trigger and select External Tracking Event. Configure it as follows:
- Event: Form submission
- Filter: Use the Domain filter to target the domain your AI Studio page is published on, and/or the External Form filter to target a specific form by name. Adding at least one filter ensures only the right submissions fire this workflow.
Save the trigger.
Step 3 — Add the Email Action
Click the + button below the trigger and choose Send Email. Fill in:
- From Name and Email: Use a real reply-able address — many businesses see better deliverability when the from address is a real inbox they monitor.
- Subject: Keep it short and specific. "Thanks for reaching out — we got your message" works well.

Body: A short confirmation. Use custom values like
{{contact.first_name}}to personalize, and let the lead know what happens next (a reply within X hours, a booking link, etc.).
Save the action.
Step 4 — (Optional) Add an SMS Action
If you want SMS as well, click + below the email step and choose Send SMS. Keep the message short — under 160 characters is best — and remember:
- Always include your business name so the recipient knows who's texting
- Include opt-out language if your jurisdiction requires it
- The contact must have a valid phone number on file from the form submission
Save the SMS action.
Step 5 — Add a Small Delay (Optional but Recommended)
If you're sending both email and SMS, drop a Wait step of 30–60 seconds between them. This avoids the "two pings at once" feeling and keeps each touchpoint distinct.
Step 6 — Publish and Test
Toggle the workflow from Draft to Publish in the top-right. Then submit your AI Studio form yourself with a real email and phone number to confirm:
- The submission appears in Contacts as a new contact (or updates an existing one)
- The confirmation email lands within a minute
- If SMS is enabled, the text arrives shortly after
If something doesn't fire, check the workflow's History tab — it logs every trigger event and shows where the flow stopped.
Tips for Better Results
- Match the tone of the AI Studio page. If the page promises fast service, the email needs to feel fast and personal too.
- Don't send only a generic "thanks." Use the email to set the next expectation — a follow-up call, a calendar link, a resource download — so the lead has somewhere to go next.
- Track open and click rates. Captivation Hub's email stats let you tune the subject line and body over time as you see what works.
Frequently Asked Questions
Does this only work for AI Studio forms, or any form?
The External Tracking Event trigger fires for any externally tracked form submission. AI Studio forms qualify because the connect step wires them into Captivation Hub's external tracking. Standard built-in Captivation Hub forms use a different trigger (Form Submitted).
Can I use this for forms on multiple AI Studio pages?
Yes. Either build one workflow that catches all AI Studio domain submissions, or build separate workflows per External Form filter for fully customized follow-up by page.
What if the contact doesn't have a phone number?
The SMS step will skip silently for that contact and the email step will still run. Add a phone field to your AI Studio form if SMS is critical for your business.
