Captivation Hub has introduced a new Notes feature in Automations, allowing you to add notes at different levels within an automation. This feature helps improve clarity, organization, and communication within your team.
Where You Can Add Notes in Automations
You can now add three types of notes inside an automation:
- General Workflow Notes – Add an overall description of what the automation does.
- Step-Specific Hover Notes – Attach notes to individual steps to explain their function.
- Sticky Notes – Use color-coded sticky notes for reminders or team instructions.
Step 1: Add a General Note to an Automation
- Open Captivation Hub and navigate to Automations.
- Select an existing automation or create a new one.
- Click on the Notes section at the top.
- Enter a description of the automation (e.g., This automation sends an internal email with form responses).
- Click Save.
🔹 Tip: Use this section to provide a high-level summary of the automation's purpose.
Step 2: Add Hover Notes to Specific Steps
- Inside the automation, select a specific step (e.g., "Send Internal Email").
- Click on the hover note option for that step.
- Type a short description explaining what the step does (e.g., This step sends form responses to the internal team).
- Click Save.
🔹 Tip: Hover notes are useful for quick references without cluttering the automation.
Step 3: Add Sticky Notes for Reminders
- Click the Sticky Note option inside the automation.
- Type in a message (e.g., Check weekly to ensure this is working).
- Select a color to categorize or prioritize the note.
- Place the sticky note anywhere in the automation for visibility.
🔹 Tip: Use different colors to categorize notes by urgency or importance.
Why Use Notes in Automations?
✅ Improves Team Collaboration – Keeps team members informed about automation steps.
✅ Enhances Organization – Provides clear descriptions of workflow functions.
✅ Prevents Mistakes – Ensures critical steps are reviewed or monitored as needed.
Conclusion
The Notes feature in Automations is a great way to keep workflows organized, documented, and easy to understand. Use workflow notes, hover notes, and sticky notes to improve efficiency and communication.
